Policies & Procedures
Access: Everyone is welcome to research in the collections of the Will Rogers Memorial Museum. Please contact the Curator of Collections, Jennifer Holt, by email (jholt@willrogers.com) or phone (918-343-8124) to set-up an appointment. To preserve its collection the Museum restricts access to materials of exceptional value and/or fragility and materials yet to be processed. Use of any item in the collection may be subject to the approval of the Curator of Collections. Researchers are encouraged to contact the Museum prior to an on-site visit to determine the availability and volume of materials desired.
Copyright: Published and unpublished documents, films, videos, photographic images, illustrations, recordings, and other materials in the collection of the Will Rogers Memorial Museum may be protected by Copyright Law (Title 17, U.S. Code). Reproductions provided by the Museum can be used only for research and scholarship and cannot be construed as permission to publish or otherwise reproduce. Permission to publish requires authorization of the Curator of Collections and the holder of the copyright. Permission for use of materials in the collection of the Will Rogers Memorial Museum for which the Museum or its associates may hold rights may be extended when appropriate.
Museum Materials: Researchers are expected to use care to preserve the integrity of the materials in the collection of the Museum.

Original materials from the collection may be used only at the Will Rogers Memorial Museum. No materials may be taken from the Museum without specific permission in writing from the Curator of Collections.

Researchers shall keep unbound materials in the order in which they are provided and in which they are filed. Researchers should notify the Curator of Collections if materials appear to be in disorder.

Individuals accessing collection materials may use pencils and electronic devices. No pens will be allowed.

Researchers will not fold, staple, otherwise fasten, trace, write on, or otherwise mark or handle material in a manner that might cause damage. A researcher should not attempt to repair a mishandled document, film, or other item from the collection. Notify the Curator of Collections of any damage sustained while in use.

Food and drink may not be consumed or stored near collection material.
Fees
Staff Research: The staff of the Will Rogers Memorial Museum is available to conduct research in the collection when time and circumstance permit. The fee for such research is $25.00 per hour with a one-hour minimum. Deposits may be required in advance for projects of an estimated eight hours or more.
Digital Images and Video: Digital files of images are available at $7.50 each and may be provided by CD, email or other online service, or flash drive provided by the client. Video can be provided on DVD at $35.00 per unit (excluding movies under copyright). A minimum charge of $3.00 shipping and handling applies on all orders of images.
Copying: Photocopies are available at $0.25 per page, plus a minimum of $3.00 for postage and handling of mailed items.
Benefits of Membership: Collection fees may be waived as a benefit of Museum membership.

Lariat of Friends = 10 hours of staffs research, 25 digital images, up to 50 photocopies, 1 behind the scenes collection tour with the Curator of Collections (by appointment)

Will's Leadership Circle = 10 hours of staff research, 30 digital images, up to 50 photocopies, up to 5 behind the scenes collection tours with the Curator of Collections (by appointment)

All Business Membership Levels = 10 hours of staff research, 30 digital images, up to 50 photocopies, up to 5 behind the scenes collection tours with the Curator of Collections (by appointment)
These fees go into effect on May 1, 2016.
The Will Rogers Memorial Museum reserves the right to waive any or all fees in exchange for promotional or goodwill value. We respectfully require payment in advance on orders unless other arrangements have been made.
